Position Description

A function of this and every job at the "J" is to ensure that each member, guest, and visitor leaves the "J" feeling just a little better than when they arrived.

This position is responsible for the essential nuts and bolts function of the JCC office and its administration. These include ordering of office supplies, oversight of purchase order tracking for all departments, and managing scholarship applicants and recipients. This position is also responsible for monthly closing out of copier and postage tracking for each department, preparation of and tracking of monthly insurance payments for employees, and preparation of monthly invoices for tenants. The Office Manager is responsible for mail sorting, distribution, and pickup.

The Office Manager is the primary person responsible for IT within the JCC. This includes all computer operations and the JCC telephone system. The Office Manager either performs IT work personally, directs others in completing the work and/or arranges for and supervises work done by outside IT contractors. This position includes communications with IT contractors and being skilled in the operation of all software in use at the JCC.

The Office Manager also sets up and implements all new software programs at the JCC, oversees GL Accounts and ensures that programs are entered into the JCC client management and operating system; ensures that all tools for accepting payment regardless of software application are functioning and linked to the proper accounts, website, other software, etc.; sets up new employee and new user accounts as well as manages permissions, troubleshoots user issues, and creates new reports in our database systems; assists the Development Department with ensuring that fundraising entries between systems are aligned. The Office Manager serves as the Daxko Operations Software Administrator for the JCC.

The Office Manager is responsible for management of UTA transit passes, coordinates volunteers, assists with Marketing responsibilities (Website, social media, email, etc.), assists with membership tours and sales, and serves as the backup for the rental and catering department.

The Office Manager takes minutes at board meetings, communicates with board members and performs other related duties as needed, required or assigned, including administrative tasks which may be needed by the Executive Director or the CFO.

Minimum Qualifications:

Previous experience with not-for-profit organizations is preferred. Bachelor's Degree in business management is preferred. Excellent skills in Microsoft Word and Excel are required as are strong software, IT, database and computer skills.

This position requires the ability to communicate effectively with others, both verbally and in writing, the ability to work evenings, weekends and holidays as needed and the ability to perform other related duties as needed, required or assigned. Finally, this position requires patience, organization and a sense of humor.
