Principal Responsibilities:

JOB TITLE: Early Learning Administrator

DEPARTMENT: Early Learning Center

REPORTS TO: Early Learning Director

The Early Learning Administrator will contribute to the vision, mission and values of the Youngstown Area Jewish Federation by supporting and managing the administrative needs of the JCC Early Learning Center and Early Learning Director while maintaining staff and community relationships with standards of excellence.

  1. Develop and manage sound administrative systems in support of the Early Learning Team
  2. Manage and compile all necessary internal reporting including enrollment, tuition, and expense-related statistics, including data pertaining to department goals
  3. Manage and reconcile department expenses and invoicing as needed
  4. Maintain a high level of proficiency in Google Suite, MS Office, CSI, AccuFund, UltraCamp and other administrative software
  5. Manage scheduling of Early Learning Team, including monitoring of employee attendance and completion of accurate payroll
  6. Manage scheduling of Early Learning Classrooms, including monitoring of student attendance, classroom student to teacher ratio and collection of appropriate tuition
  7. Maintain and monitor all statistics, records, and reports for Step Up To Quality and Ohio Department of Jobs and Family Services requirements
  8. Coordinate with Human Resources to facilitate appropriate onboarding procedures for new employees as required by Ohio Department of Jobs and Family Services and Youngstown Area Jewish Federation guidelines
  9. Coordinate with Facilities and Maintenance Manager to ensure a high level of cleanliness and appropriate maintenance of Early Learning Center in accordance with all appropriate standards of health, safety, and licensing regulations
  10. Purchase and maintain inventory, supervising the allocation of program supplies and equipment as directed
  11. Coordinate with new enrollees to facilitate appropriate onboarding procedures for new enrollees as required by Ohio Department of Jobs and Family Services and Jewish Community Center of Youngstown
  12. Organize and distribute marketing materials for prospective families
  13. Provide assistance to the Early Learning Director, as needed

Minimum Qualifications:


Minimum associate degree or comparable professional experience. Must meet comprehensive background requirements for licensed child care programs in the state of Ohio. Ideal candidate is a self starter with a can-do attitude and a high level of organization, able to manage multiple projects at once. Candidate must be a skilled writer and high quality communicator who works well in a team environment. Must be proficient with MSOffice and Google Suite.
