Principal Responsibilities:

Position Summary: Office Manager

Efficiently manage, organize and executing all duties pertaining to running the office with an extremely positive attitude. Be proactive in anticipating the rising needs of our staff and provide administrative support for the department heads and lay leaders. Your duties will include scheduling employees and delegating daily tasks. You will organize registration for a wide variety of programs, taking donations and handling ticket sales of our various events.

Key Areas of Responsibility:

I. Supervision

  • Hire, mentor and maintain a team of professional staff both full and part time
  • Help team to understand performance targets and goals
  • Provide constructive feedback and issue written warnings and terminate if necessary
  • Schedule work hours and shifts
  • Coordinate job rotation and cross training
  • Provide real-time feedback on worker performance
  • Assist in resolving complex issues such as quality or customer/member problem that cant be resolved at the front line.
  • Identify and resolve workplace problems

  • II. Administration

  • Answering and directing phone calls
  • Program registrations
  • Taking donations and issuing tribute cards
  • Help organize the payment and tracking portion of events, programs and ticket sale
  • Negotiate with vendors and suppliers
  • Creating employee schedules and managing holiday coverage
  • Delegating tasks

  • III. Customer Service

  • Create and maintain professional and meaningful relationships with members, clients and colleagues
  • Respond to feedback (positive and negative) given by the members and clients
  • Provide information to members about programs taking place throughout the J
  • Providing excellent customer service
  • Face to face customer services including processing payments and check account activities.
  • Adherence to all JCC policies and procedures
  • Ability to work efficiently and effectively with internal staff and volunteers

    Minimum Qualifications:


  • 3  5 years in a full-time supervisory role
  • Exceptional customer service experience
  • Strong interpersonal skills including patience, positive attitude and enthusiasm. Must be a self-starter and team player.
  • Excellent communication/liaison skills with staff and membership; mature, professional, polished and diplomatic. Must be able to multi-task.
  • Intermediate/Advanced computer skills such as Word, Excel, Outlook and Database Management Programs.
  • Excellent English oral and written communication skills are essential, bilingual is an asset
  • Sensitive and appreciation of Jewish culture and customs an asset
  • Reliable and discreet with confidential information
  • A great listener and excellent communicator
  • A quick learner. Detail orientated and able to adapt to a new work environment quickly
  • Post-secondary education in human resources, customer service or related field, an asset
  • Recent sales and cross marketing experience an asset
