Principal Responsibilities:

Summary:

The Account Representative performs general accounting, payroll, procurement, and analytical functions, provide general administrative support, and is responsible for assisting with membership and program accounting, billing, payments, and customer service and member relations. The position is member of the PJCC Finance team. It is specific to executing administrative and clerical functions of the PJCC by performing the following duties.

Essential Duties and Responsibilities include the following:

Performs account clerk-type functions, including but not limited to: making accurate accounting entries in the general ledger and other financial systems, reconciling and balancing specific accounts, counting and reconciling cash receipts and preparing and making bank deposits, making and reconciling payroll system data entries, preparing analytical and written reports in Microsoft Excel and Word, performing membership and program data system entries, preparing third-party billing, resolving delinquent payments, and maintaining member files.

Performs payroll entry, reconciliations, and analysis for payroll processing, checking writing, and investigations.

Perform supplies and small equipment purchasing and working directly with supplies vendors and assists Senior Account Representative.

Works with Membership Services and program departments to resolve membership and program registration issues with payments, declined credit cards, and similar accounting transactions. Responds promptly, effectively, and courteously to all member inquiries/needs by email, phone and occasionally in person.

Assists Controller and Senior Account Representative with accounts payable and accounting functions including but not limited to reviewing and entering into financial system all requests for payment, preparing list of payments to be made for review by controller, writes checks to appropriate vendors, attaches checks to backup received for payment request, secures needed signatures on checks, prepares checks for mailing and maintains vendor paper files. Responds to departmental questions relating to payments to vendors and assists in 1099 preparation at year end.

Provides general administrative and clerical support to the Finance Team.

Provides backup to other Finance team members on as needed basis

Education/Experience:

One-year certificate in accounting (or equivalent) plus a minimum of 2 years demonstrated practical experience and training with responsible account clerk, receivable, payable, and payroll functions, particular to small to medium size business and/or agency; or equivalent combination of experience and education. Previous purchasing and payroll experiences are a plus.

Accounting:

Ability to perform and apply standard accounting, purchasing and procurement methods using automated general ledger and purchasing systems; determine suitable and cost-effective purchasing methods; establish and maintain effective working relationships with vendors; understand specifications, quotes, proposals and recommend best approach for the interests of the organization; prepare analytical reports, maintain statistical records, and correspondence.

Language Ability:

Ability to read and interpret documents such as accounting, purchasing, requisitions, safety rules, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with PJCC members or employees.

Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving members, vendors, and staff as necessary.

Computer Skills:

To perform this job successfully, an individual should have above average working knowledge of Microsoft Word, Excel, Outlook, financial accounting and database, and purchasing systems, and have the ability to learn new systems/software. Ability to enter detailed data quickly and accurately is necessary.

Financial Accounting:

Ability to apply accounting and purchasing principles; navigate through and perform tasks in the various computer software required for financial, purchasing, and customer-relations transactions (accounting systems, spreadsheets, word processing and database systems).
