Principal Responsibilities:

The Youth Operations and Office Manager is responsible for overseeing program enrollment and processing in the Youth, Family and Recreation Departments, as well as general office and administrative functions of the department including accounts payable and receivable, payroll and purchasing. The Youth Operations and Office Manager must be comfortable working independently and as part of a team, and contribute positively to the team dynamic. The Youth Operations and Office Manager must be very detail orientated and work in a timely and efficient manner under deadlines and in a fast-paced office environment, along with having strong leadership, supervision and communication skills and providing superior customer service. The Youth Operations and Office Manager reports directly to the Director of Youth, Family and Recreation and also receives direction and requests for support from other Youth, Family and Recreation department managers.

Essential Duties and Responsibilities include the following: Other duties may be assigned.

General Office Management

Accounting and Budget Monitoring

Oversee weekly and monthly Accounts Payable/Accounts Receivable:

Staff Paperwork and Payroll

Monitor staff payroll including:

a. Coaching staff and correcting payroll errors

b. Schedule verification

c. Developing payroll tracking systems

Monitor staff paperwork including:

Manage Department Purchasing

Program Enrollment Management

a. Provide administrative support, including communication with prospective clients.

b. Oversee and manage school-year contract distribution and enrollment paperwork and payment processing.

c. Assist with Camp, Enrichment and general program enrollment, paperwork and payment processing.

d. Maintain accurate records of current program registration, waitlist, availability, and statistics.

Minimum Qualifications:

Qualifications

Education/Experience

Bachelor's degree, 3+ years of administrative experience working in a fast-paced environment, or equivalent combination of education and experience.

Certificates and Licenses

CPR, First Aid Certified or able to obtain.

Schedule

Typical schedule is Monday- Friday 9:30am- 6:30pm. Hours are subject to change based upon the needs of the PJCC.
