Our dynamic and community-centered organization is looking to add a talented, conscientious, and resourceful Administrative Manager to the team. The primary role of this position is to serve as the cornerstone connecting our Senior Director of Operations with various functions within the organization, ensuring smooth day-to-day operations. As the Administrative Manager, you'll work most closely with the Senior Director of Operations, and within a top-notch Operations Team.


This position requires an affinity to work both independently and collaboratively to handle varied requests and proactively anticipate changing needs. In addition to being organized and detail-oriented, this position depends on your analytical skills, discretion and confidentiality, and the ability to communicate effectively.

Minimum Qualifications:

KEY RESPONSIBILITIES:

  • Executive Support Excellence: Manage the Senior Director's calendar, assist with communications, and prepare presentations on their behalf. Streamline their workflow and handle special projects with finesse.
  • Project Management Pro: Take the lead in planning and executing special projects, ensuring they align with organizational goals and tracking their success.
  • Reception Staff Management: Recruit, train, and supervise Reception staff, ensuring optimal coverage and a welcoming environment for community members and visitors.
  • Vendor Liaison: Coordinate with vendors for various needs such as insurance, legal contracts, and RFPs.
  • Safety and Security Support: Assist in scheduling, reporting, and other tasks for the safety and security team.
  • Meeting Maestro: Provide planning and logistical support for meetings, ensuring seamless coordination of resources.
  • Team Collaboration: Build strong relationships across teams and departments, facilitating effective communication strategies.
  • Operational Efficiency: Develop and review policies, identify improvement opportunities, and maintain procedures to optimize organizational effectiveness.
  • Budget Management: Compile and maintain department budget information to support planning processes.
  • Resource Management: Take charge of maintaining and managing all resources within the Operations department.

QUALIFICATIONS:

  • 3+ years of administrative support experience, non-profit experience a plus.
  • Proficient in Microsoft Office Suite, Google applications, and project management tools like Asana.
  • Managerial experience preferred.
  • Exceptional organizational and project management skills.
  • Proactive with a strong sense of judgment.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with discretion.
  • Tech-savvy and adaptable to new technologies.

COMPENSATION

This is a full-time, exempt salaried position with a salary range of $55,300 - $64,300 commensurate with experience. Employee benefits currently include health insurance (medical, dental, and vision) with access to a health savings account (HSA) with generous employer contributions, a 403(b) retirement savings plan with immediate vesting and an employer match up to 4%, voluntary disability, life, and accident insurance, substantial staff discounts, as well as plentiful time off (vacation, sick, and holidays including a full week during Thanksgiving).

$55,000 - $65,000
