Principal Responsibilities:
The Assistant Program Director will support the daily operations of the AgeWell Senior Program. This includes assisting with program coordination, overseeing volunteers and activities, maintaining client records, and ensuring smooth administrative and operational functions across the department.
Minimum Qualifications:
Qualifications:
- Degree in a related field or equivalent experience working with senior adult clients.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Publisher.
Preferred Attributes:
- Ability to work compassionately with a fragile and diverse senior population.
- Positive, energetic attitude; capable of supporting clients with emotional and/or physical challenges.
- Experience with database entry and newsletter creation is a plus.
Work Environment & Requirements:
- Excellent interpersonal and communication skills; able to handle sensitive and confidential matters with discretion.
- Strong multitasking abilities and great time management; capable of staying calm under pressure.
- Must be flexible and adaptable; the position requires working in a shared office space and occasional off-desk duties.
- Occasional evening and Sunday availability required for special events.
Salary:
$35,000 - $45,000
Agency Information:
Primary Responsibilities:
- Conduct meetings with prospective senior clients, provide tours of the Trager Family JCC, facilitate program orientation, and assist with registration and required paperwork.
- Accurately enter daily departmental revenue into the software platform, including funds from senior nutrition lunches, home-delivered meals, transportation, memberships, and other program-related sources.
- Track and input meal units for both Congregate and Home-Delivered Meals into the designated system.
- Maintain up-to-date client records and manage annual renewal documentation.
- Maintain the Social Club membership and mailing list.
- Contribute to the creation of the monthly newsletter by inputting content into the template, preparing newsletters and mailing labels, and coordinating volunteers for mailing tasks.
- Collect and review daily sign-in sheets from senior activities; track attendance and submit records to partner organizations. Compile monthly service unit reports and share with the Program Director.
- Supervise, schedule, and support AgeWell program volunteers.
- Assist in inventory tracking and ordering paper goods and milk.
- Attend and chaperone trips as needed.
- Coordinate reservations for daily lunches, special events, and field trips.
- Support the execution of special programs and attend the "Dining Out with Seniors" program on a rotating basis.
- Serve as acting Director in the absence of the Program Director to ensure uninterrupted operations.
- Participate in weekly staff meetings with the Nutrition Department.
- Answer and return phone calls promptly and professionally.
- Handle Goodwill donations and maintain related records.
- Reconcile gas card usage with driver receipts.
- Write thank-you notes to program contributors and prepare volunteer certificates for the annual New Year's celebration.
- Assist with lunch service, as needed.
- Perform other duties as assigned.
