Full Time Switchboard Operator/Phone Receptionist
RESPONSIBILITIES OF THE JOB
To be responsible and help with coverage of hours of the switchboard during evenings (if staff is delayed), Sundays and Holidays and summer programs. To help delegate work to the evening receptionist. To help train any staff for the reception desk.
To coordinate and work together with the supervisors and department heads. To be able to recognize problems, analyze alternatives and select an appropriate course of action.
To help enforce courtesy and politeness to all staff and clients and maintain patience with clients and fellow staff. To be aware of any recurring problems with staff.
Learn and help manage agency data/client management software.
Help give information about and sell different agency programs, services, and offerings.
Communication with staff in distributing memos, mail, and other notices as needed, updating information for staff lists, phone extensions, updating staff names on mailboxes and keeping on top of information that is put on the bulletin board.
To set up Room Scheduling for the agency. To type letters, grants, reports, and other matters from previously written or typed material. To assist in ordering office supplies and help be on top of inventory. To help put supplies away. To assist in sending out Tribute and contribution cards and help keep records.
To be responsible to help set up program rosters as needed. To be part of the agency process in registering for all programs and services.
To perform other clerical and minor bookkeeping duties as assigned.
May perform any and all duties as Clerk-Typist or as assigned by your supervisor or other department heads.
Preferably 3-4 years of administrative experience that includes receptionist work in an office setting; experience in a non-profit environment plus; college degree preferred.
Excellent customer service skills. Must be friendly, engaging and patient with callers, clients, and guests.
Experience working within an office environment in an administrative capacity.
Ability to work efficiently and effectively under pressure to meet production deadlines.
Attention to detail and problem solving skills.
Excellent time management skills and ability to prioritize daily workload.
Demonstrate cultural competency through familiarity in working with people from a very diverse number of backgrounds.
Must have excellent interpersonal skills as well as verbal and written communication skills.
Computer literate, including experience with all Microsoft Office software packages; Google Drive (Gmail, Calendar, Contacts, Docs, Sheets, etc.); knowledge of room reservation software; and efficient use of the Internet.
Salary: Commensurate to prior experience

Schedule: This is a Full-Time position. Late nights and weekends as needed. Hours can be flexible, but employee must be flexible during various times of the year (ie; camp, camp orientation, etc.). Expected Start Date: ASAP
